Privacy Notice for Petersfield Greenspace People Survey
Purpose of this Survey
We are conducting this survey to gather opinions and demographic insights that will help inform greenspace planning in the town. Your responses will contribute to evidence-based decision-making and inclusive project design.
What Data We Collect
We ask participants to voluntarily provide:
- Age (within a range)
- Sex/gender identity
- Postcode, beyond GU31 or GU32 if possible
- Other demographic details relevant to the project – e.g. ethnicity, whether you consider yourself to have a disability.
We do not collect names, full addresses, phone numbers, or email addresses unless you offer them. We do not track IP addresses.
The legal basis for processing your personal data
We process your data under the lawful basis of:
- Consent: You choose to participate and provide information voluntarily.
- Legitimate Interests: The survey serves a public interest and does not infringe on your rights.
Unless you have provided your email address, it is impossible to withdraw your responses from the analysis because it will not be possible to identify your specific information in the survey dataset.
How your data is used
Your responses will be:
- Analysed to identify trends and inform project decisions
- Shared in summary form with stakeholders (e.g. local councils, community groups)
- Stored securely and never used for marketing or profiling.
Data security and storage
We use secure, encrypted systems to store and analyse data. Access is restricted to authorised personnel only. Data will be retained for 12 months after collection and then securely deleted.

Prize Draw Terms and Conditions
1. Promoter
The prize draw is organised by Petersfield Society, responsible for administering the survey and selecting the winner.
2. Eligibility
Entry is open to individuals aged 16+ who complete the Town Greenspaces Opinion Survey and provide a valid email address.
Only one entry per person is permitted.
Employees or contractors involved in running the survey are not eligible.
3. Free Entry
Entry is free. No purchase or payment is required to participate or to claim the prize.
This complies with the Gambling Act 2005, which states that free draws must not require payment to enter or to discover whether a prize has been won (“there can be no additional payment over what it would normally cost…”).
4. How to Enter
Complete the survey during the stated survey period and provide your email address at the end.
Entries submitted after the closing date will not be included.
5. Prize
One winner will receive a £25 supermarket voucher (store may vary).
The prize is non‑exchangeable and no cash alternative is offered.
Winners may be required to pay only normal delivery costs if applicable, as permitted under the Act (“normal delivery or other normal costs needed to obtain or use the prize”).
6. Winner Selection
All valid entries will be entered into a random draw after the survey closes.
The draw will not distinguish between different entry routes or participants, in line with free‑draw requirements (“the system for allocating prizes does not distinguish between those using either route”).
The winner will be selected using a randomised method and notified by email within 14 days.
7. Claiming the Prize
The winner must respond within 14 days of notification.
If the winner does not respond in time, a new winner may be drawn.
8. Data Protection
Personal data will be handled in accordance with UK GDPR.
9. General Conditions
The promoter reserves the right to amend or cancel the prize draw if necessary.
Participation in the draw indicates acceptance of these Terms & Conditions.
Nothing in these Terms affects your statutory rights.
